- How to Send RFQ Emails in Loocey
- To get started, open your Bidding Board and select one or more RFQs that you want to send to suppliers.
- Once you’ve selected the RFQs, click the three-dot menu and select Bulk Email Sender.
- This will open the Bulk Email Sender window, where you can review the RFQs you selected and the suppliers who will receive the emails.
- The suppliers are selected by default based on the information available in Loocey.
- If a supplier is unchecked, it usually means that we don’t have an email address for that supplier, the supplier is no longer active, or the supplier has previously been marked as No.
- For the suppliers that are checked, you’ll see the email address that will be used to send the quote request. You can also change the supplier from the supplier dropdown menu if needed.
- Connecting Your Email
- Before sending emails, you need to connect your company email account to Loocey.
- Loocey supports Microsoft Outlook and Google Gmail.
- You can connect an email directly from the Bulk Email Sender by opening the email account dropdown and selecting Connect New Email.
- Choose either Microsoft or Google, then follow the steps to complete the connection.
- In this example, we’ll connect a Microsoft Outlook account. The Gmail connection process will work in a similar way.
- Select Microsoft and click Connect.
- A Microsoft authorization window will open. If you’re using an ad blocker, you may need to temporarily disable it to allow the authorization window to open correctly.
- You may also see a message indicating that the Loocey application is currently pending approval or verification. Follow the prompts and accept the requested permissions to continue.
- Once the process is complete, you’ll be redirected back to Loocey and should see a confirmation that your email was successfully connected.
- Close the confirmation window, then click the Refresh icon in the email account dropdown.
- Your newly connected email account should now appear in the list.
- You can connect multiple email accounts if needed and select the account you want to use for sending.
- Selecting Recipients
- Once your email account is connected, you can review the suppliers and email addresses.
- Only suppliers that are checked will receive an email.
- You can uncheck any supplier if you don’t want to send them a quote request.
- You can also add additional email addresses by typing them into the recipient field and pressing Enter.
- If needed, you can also add CC recipients.
- Reviewing the Email Template
- Loocey provides a default email template that is automatically populated with the supplier and RFQ information.
