Overview

In this tutorial, we’ll go over setting up Loocey first time and going over the 5 powerful features of the DLA/DIBBS module.

Step by step

The walkthrough covered in the video, written out so you can follow along inside Loocey.

  1. Log in to Loocey and open the DLA RFQs table. Click a solicitation number to see the full details and line items (CLINs), and click an NSN to open the NSN pop-up with approved parts, company details, related RFQs, and NSN history, including last award date, last unit price, and quantity stats.
  2. Set up your research filters: open the Simple RFQs view, click Filters, and adjust the pre-configured filters to your needs. For example, add an FSC Code filter with the In condition and enter the FSC codes you want to follow, then hit Apply.
  3. Save your search: click Save, then Save As New, name it (for example, Medical Supplies), and hit Save. The view appears as a tab, so every day you can jump straight to your saved searches without re-entering filters.
  4. Use One-Click Copy: select one or more RFQs from your saved view, open the three-dots menu, choose Copy To Bidding Board, and click Copy. Loocey copies all RFQ data, approved sources, and parts into your CRM.
  5. Organize the Bidding Board: click a status to change it, open the right panel by clicking an RFQ name, and take notes. Create views like Won and Ready To Bid by saving filtered views on the Bid Status column.
  6. Assign RFQs to teammates using the Assigned To column, and build a dynamic My Items view by filtering Assigned To equals Current User, each person who opens the view sees their own items.
  7. Open an RFQ in detail view to work a bid: review the RFQ details, then use the Supplier Quotes tab. Loocey pre-populates it with the approved sources; add your own suppliers via Add Item (first add them under Suppliers in the left menu if needed).
  8. Send quote requests: select suppliers in the Supplier Quotes tab and open the Bulk Email Sender. Each supplier gets a personalized email with their own part number and details. Use the Quoting column on the supplier record to skip suppliers you don’t want to alert, especially ones bidding directly with DLA.
  9. Track new RFQs with viewed indicators: blue dots mark unviewed records, orange dots mark records viewed by someone else in your organization. Mark items as viewed, and use the filter dialog’s Other Options to exclude viewed records from your lists.
  10. Search by CAGE codes: filter on the Approved Source Cages column with the Contains Any condition and enter cage codes one per line.
  11. Search by part numbers with Related Data Filters: open Filters, go to the Related Data Filters tab, add a filter on DLA Approved Parts, choose Part Number with the In condition, and paste your part list.
  12. Find open RFQs matching your prior awards: add a related data filter on DLA Award History, select Cage, and enter your cage code (or a competitor’s) to find RFQs for NSNs you have won before.
  13. Find local manufacturers: add a related data filter on DLA Approved Sources, select Zip, and use Equals, Starts With, or In to match zip codes near you.
  14. Find high-demand NSNs using the stats columns: combine filters on Total Quantity Awarded, Last Year Quantity Awarded, and YTD Quantity Awarded to find frequently purchased items, then save the view.
  15. Find long-term contracts: filter the Type column for AIDC (automated indefinite delivery contracts) to see multi-order, longer-term solicitations.
  16. Use multi-keyword conditions (Starts With Any, Ends With Any, Contains Any) to match lists of company names or other values in one filter.
  17. Use dynamic value filters to drive a view from a list: keep your high-priority NSNs in their own list, then set a filter’s condition to In with Dynamic Values pointing at that list, every view using it updates automatically when the list changes.
  18. Complete the bid in Product Details: select the winning supplier, enter unit price and margin, and Loocey calculates cost total, average margin, profit, and the bid unit price.
  19. Add real costs in Service Details: define service types (labor, shipping, packaging) under Services, then add expense lines with quantity, rate, and margin so the bid unit price covers every cost.
  20. Store your bid package in the Files tab: upload quotes, reseller authorization letters, and other documents; rename files, add descriptions, replace versions, or store external links for confidential files.
  21. Manage work visually with Kanban/pipeline views: from the list menu choose Add Kanban Or Pipeline View, pick a status or drop-down column for the headers, drag and drop cards to update statuses, and enable extra fields on the cards.
  22. Print MIL-STD-129R labels with the Label Maker: select a row with an award ID, open Label Maker from the three-dots menu, review the pre-filled fields (contract ID, NSN, quantity, cage, preservation data), pick unit, intermediate, or exterior container type, choose 1D or 2D barcode format, and download the PDF for printing.
  23. Set your cage code once under Edit Profile, Company so the label maker’s Your Cage field is always pre-filled, and change the RFQ status to Ready To Bid when your package is complete.
