How to Update Supplier Email in Loocey - DLA/DIBBS

In this video, we’ll learn how to update Supplier Emails in Loocey if they’re missing or have changed.

Sometimes, when you copy an RFQ to the Bidding Board, some of the approved sources could show email missing. Let’s see an example.

Step by step

1. Sometimes when you copy an RFQ to the Bidding Board, some approved sources show a missing email. Let’s fix that.
2. Go to RFQs, select the desired RFQs, click the three dots, choose Copy To Bidding Board, and click Copy.
3. When the copy is done, go to the Bidding Board and open an item. In the Supplier Quotes section, select all approved sources, click the three dots, and open the Bulk Email Sender, you’ll see some suppliers have emails and some don’t.
4. To update a supplier email, click Suppliers in the left menu, search for the specific supplier, update the email directly in the table, and hit Save. The supplier’s website link is usually available, so you can visit their site to locate a sales contact email.
5. Supplier updates are global: the next time the same supplier comes up on any RFQ, the email will already be there.
6. Test it: go back to the contract details page, open the Bulk Email Sender, and check the supplier that previously had a missing email, the email now shows.
7. Even if you delete the RFQ from the Bidding Board and copy it again, the email persists, because supplier updates apply to all future RFQs.
8. Final tip, update emails in bulk: go to the Suppliers list, click Add Filter, choose Email, select Is Null, and hit Apply to see every supplier with a missing email.
9. Remove the columns you don’t need, then click Save, Save As New and name the view Missing Emails.
10. After copying RFQs to the board, check this list first and fill in missing emails before starting the quote request process.
